📌 What are intro and outro messages?
Intro and outro messages are the first and last things your candidates hear from the AI interviewer. They help set the tone, provide clear expectations, and reinforce your company’s voice and professionalism.
By default, the system uses a standard greeting and closing — but admins and recruiters can customize these messages to better reflect your brand and candidate experience.
🛠️ Where can I customize these messages?
There are two places where you can customize intro and outro messages:
- Global (Admin-level) Settings
- Go to: Settings > AI Interview Settings
- Under Interview Messages, you can:
- Customize the Intro message (start of the AI interview)
- Customize the Outro message (end of the interview)
- Customize the Intro message (start of the AI interview)
- If left blank, Braintrust will use the system default messaging.
- Messages will be auto-translated into the supported languages you designate for each interview.
- Go to: Settings > AI Interview Settings
- Job-Level (Recruiter-level) Settings
- If the “Allow job-level override” checkbox is enabled by an admin, recruiters can:
- Set custom intro and outro messages for each job during the job setup flow, under the Interview Messages section.
- If the “Allow job-level override” checkbox is enabled by an admin, recruiters can:
🧩 Can I personalize the messages?
Yes! You can personalize messages using dynamic variables to insert candidate or job-specific details.
Supported variables:
- {{ candidate_first_name }}
- {{ candidate_last_name }}
- {{ job_title }}
- {{ company_name }}
- {{ max_interview_duration }}
How to insert variables:
- Use the “Add variable” dropdown
- Or type {{ and select from the variable list using Ctrl + Space (or ⌘ + Space on Mac)
This allows you to create warm, personalized messages like:
Hi {{ candidate_first_name }}, I’m Air, and I’ll be conducting your interview for the {{ job_title }} at {{ company_name }}...
⚠️ Important: Do Not Rename or Misspell the Agent’s Name
Please do not change the spelling, name, or capitalization of the AI interviewer’s name, “Air.”
- ✅ Correct: Air
- ❌ Incorrect: AIR, air, A.I.R., AI Interviewer, etc.
Changing the agent’s name or spelling may cause unexpected behavior or system confusion during the interview process. To ensure a smooth candidate experience, always refer to the agent as Air.
✅ What happens if I don’t customize the message?
If no custom message is provided at either the admin or job level:
- The system default will be used.
- It will still be translated based on the interview language setting.
🔐 Who can customize these messages?
| User Role | Can Customize? | Where? |
| Admin | ✅ | Global defaults for all jobs (under Settings) |
| Recruiter | ✅ (if allowed by admin) | Per job (during job setup) |
🔒 Admins must check “Allow job-level override” to enable recruiters to customize per job.
🌍 Will candidates see the messages in their own language?
Yes. All intro and outro messages — whether default or custom — will be automatically translated into the supported language selected for the interview.
🧪 Tips for great messages
- Keep it friendly and professional
- Use the candidate’s name to personalize
- Provide clear next steps in the outro
- Reflect your employer brand voice (formal, casual, technical, etc.)
- Keep length moderate — avoid overwhelming candidates at the start
🔁 Can I reset to default?
Yes. If you’ve customized a message and want to go back to the system default, just click the “Reset” button next to the message editor.
